Resource Documents

Resource Documents are PDF files that you can upload to a specific FormSpaceClosed FormSpaces are where forms are stored and organized in the TrueContext Web Portal. A TrueContext Team may have multiple FormSpaces, depending on their needs. Admins can set FormSpace permissions to control which users have access to the forms in that FormSpace. in the Web Portal. Note:All tiers can create Resource Documents. However, only users on the Enterprise tier can link Resource Documents to forms.

When to use a Resource Document

Use a Resource Document as part of a Document Editor question to provide field users with a PDF file to annotate.

Because a Resource Document is a shared resource within the FormSpace, it's easy to keep all your forms up to date with the latest version. Simply edit your Resource Document to make any changes, such as uploading a new PDF file. The document updates after a reconcile—there's no need to manually update any of your forms.

Create a Resource Document

  1. In the TrueContext Web PortalClosed The TrueContext Web Portal is a web application used to manage security settings, forms, FormSpaces, other users, Data Sources, and Data Destinations., go to Manage Forms > Resources.

  2. Select Create Resource.

    Result: The system displays a list of Resource types.

  3. Select Resource Document.

    Result: The system displays the Resource Document creation page.

  4. Configure the Resource Document details:

    • Name: Enter a name for your Resource Document. Names can contain a maximum of 251 characters.

    • Description: (Optional) Enter a description to display on the Resource Document’s details page.

    • Resource Document File: Select Choose File to upload a file from your device.

      Note:Your file must be in PDF format and a maximum size of 5 MB.

  5. Do you want to notify mobile users of changes so they can reconcile their app?

    • If yes, go to step 6.

    • If no, select the checkbox to suppress push notifications.

  6. Select Create.

View the details of a Resource Document

  1. In the TrueContext Web Portal, go to Manage Forms > Resources.

    Result: The system displays a list of all your Resources.

  2. To quickly find a Resource Document, you can look for the PDF icon or filter the list based on the type.

  3. Select a Resource Document to view the details page.

    Result: The Resource Document’s details page shows you which forms currently reference it. You can also download the document file to your device.

Edit a Resource Document

  1. In the TrueContext Web Portal, go to Manage Forms > Resources.

  2. Select the Resource Document you want to edit.

    Tip:To quickly find a Resource Document, you can look for the PDF icon or filter the list based on the type.

  3. On the Resource Document details page, select Edit Resource Document.

  4. Edit the Resource Document information or upload a new file.

    Note:If you’re uploading a new file, it must be in PDF format and a maximum size of 5 MB.

  5. Select Update.

    Tip:All forms that reference the Resource Document automatically update with the new file when users reconcile their device.

Delete a Resource Document

Warning:If you delete a Resource Document, you can’t recover it from the TrueContext server.

  1. In the TrueContext Web Portal, go to Manage Forms > Resources.

  2. Select the Resource Document you want to delete.

    Tip:To quickly find a Resource Document, you can look for the PDF icon or filter the list based on the type.

    Result: The system displays the Resource Document details page.

  3. Select the arrow next to the document name, and then select Delete.

    Note:You can’t delete a Resource Document if any forms reference it. Check the Referencing Forms section to find a list of the referencing forms.

    Result: The system prompts you to confirm that you want to delete the Resource Document.

  4. Select Permanently Delete Resource.

    Result: The system removes the Resource Document from your list of Resources.
